backup tape ejects early

[lenny]

Hi, I am backing up to a 4mm Data Tape (72GB) using the SBS Backup program
(with the Windows Backup program). I am trying to backup C, D and System
State. I have noticed over the last couple of weeks that the System State
has not backed up at all and it doesn't look like the D drive is being
backed up correctly either. When I check the tape in the morning it has
already been ejected but before this problem started it stayed in the drive.
Below is a copy of the latest log. I notice that the media is not being
found on the second part of the backup but why is it being ejected early? I
have reset the backup schedule but this doesn't seem to make any difference.

You are backing up to media which has 36GB capacity (DAT72).

DO NOT believe manufacturer claims of 2:1 compression. You will be lucky to
get 1.3:1 on any 'normal' system.

Backup is working perfectly, your tape is too small.

wouldn't the log file tell me that the tape was full? Also wouldn't the
message about the tape being full, please insert new media appear on the
screen if that was the case? Neither of these instances occur.

nah, the backup task runs in a separate instance of the desktop (normally)
so any alert does not get reflected to 'console'. It also, on SBS, runs in
the security context of 'backupuser' which is normally disabled and only
enabled by the SBSBackup task. I haven't tried but it's _probably_ possible
to sign onto the server as 'backupuser' when the account is enabled, you may
then see the 'please insert another tape'.

'The requested media failed to mount.' _is_ telling you the tape is full.
It's not intuitive, granted, but if you know NTBackup you get used to such.

Your tape is full. Get a bigger tape or reduce your backup. (former being
preferable to latter)

Hi Lenny:

While agreeing with SG, it has happened to my customers that it was just not
a good time to purchase different media, either tape or external hard
drives. There is another possibility, which I don't recommend except in
very extreme circumstances.

You can use NTBackup, not SBS backup and create a multi tape base backup
when you have time, as you will need to be available to change the tape.
Maybe start Thursday night and finish Friday morning or late in the day on
Friday, then use NTBackup and Task Scheduler to do Differential backups the
rest of the week.

Differential backups use the full backup plus the last tape to complete the
restore. The danger is that the last full backup, or the current tape will
be defective. It is worse if it is the last full backup, since you could
use the 2 day old tape to complete the restore, but that is nowhere nearly
as safe as all files every day.

Be sure to run the verify on every backup and test restore files from the
full backup as well as an occasional daily backup.

In the long run, get bigger media. Either External Hard Drives or a new
Tape Drive.

Hi, The Tapes we are using are HP Data72 C8010A. The total backup is 53GB
but it has been around this for ages give or take a little bit. Why would it
suddenly become full?

How can I be sure that the tapes are being used to their full capacity? Is
it within the Backup program?

I also can't see anywhere that would allow me to wipe the tape clean and
have a fresh start? I realise now why most people tend to use another backup
program.

I have thought about backing up to a removable HD but at the moment we back
up on a daily basis in a 2 week cycle. This could work with removable HD's
but we would need 10 of them and they are not as convenient as the Tapes.
Any thoughts?

Without wanting to dilute the main thread, what does everybody recommend as
a backup software?

In my experience you get around 1.3/1 compression on tape backups, so 36
GB x 1.3 = 48GB is the realistic capacity of the tape, not 72GB. Your
log shows that around 12GB + 36GB was backed up before the tape end was
reached, which tallies with my estimated true capacity of 48GB. Your
tapes are fine, but you are trying to backup too much data. Check your
previous successful backup logs to see how much data you were getting
onto tape then.

You can download Treesize to discover where you are using most disk
space, then exclude non-critical folders from the backup. Typically, you
can exclude the WSUS folder and System Volume Information to save
serveral gigabytes. Remember to count you MDBDATA folder twice when
estimating the size of the backup because exchange is backed up twice,
once as offline file backup, and again as an exchange aware online backup.

Re: backup tape ejects early

The cost of USB hard disc have dropped considerably, while the amount of
space on these disks have greatly increased. It might be time to investigate
moving from tape media to hard disk. The next version of Server (server
2008) no longer supports disc to tape backup - obviously 3rd party
application will continue to support whatever backup media the customer is
willing and able to support.

One other solution to look into; how often do you replace your tapes. See if
a new tape changes the outcome. Old tape will degrade over time and it is
reasonable to expect it needs to be replaced (proactively) on a regular
basis. How often is cleaning maintenance performed on the tape drive?
finally, have you actually calculated the amount of data that is being
stored. As another reply mentioned, depending on compression to occur at the
maximum rate is not a good strategy. Higher compression is usually based on
application data (text, word, etc). If your backup has a significant amount
of binary/streaming data - you will not begin to approach a 2:1 ratio.
Compression is based on the possibility of representing (algorithemetically)
substantial portions of the data. binary storage is pretty "dense" and does
not respond well to compression.

I'm not sure you are understanding this: everytime the SBS backup runs,
it erases the entire previous contents of the tape so it is a fresh
start every time. There is nothing wrong with the SBS backup program.

HD's become expensive for long rotation periods. LTO-2 tape is the
logical step up from DAT-72. WD Passport USB drives are reasonably
portable and cheap, but I'm not sure about durability. The Dell RD1000
looks like a nice solution but it would be expensive with 10 cartridges.

The built-in SBS backup software is more than sufficient IMO, but if I
was going to spend money, I'd go for something like ShadowProtect
imaging software to do continuous incrementals. I wouldn't waste my
money on BackupExec.

locate either the WSUS folder (Which I can't find anywhere on the computer -
Windows Server 2003) or the System Volume Information.

Are you using Small Business Server 2003? SBS2k3R2 includes Windows
Server Update Services (WSUS) to deploy updates throughout the domain.
SBS aslo allocates space for shadow copies in the System Volume
Information folder (set folder options to view hidden and system files).
If you're not using SBS, then you might not see these.

what I don't seem to understand is that the backup was working fine just 10
days ago. All the folders were being backed up. The way that we work means
that there is no way another 4 or 5 GB of files would now need backing up.
Very confusing.

Where are the log files for the earlier backups stored?

Some data compresses better than other types - Office docs (pre Office 2007
anyway which is itself compressed) compress well but EXE's and graphical
data does not. You were probably right on the cusp of running out for a
while and that last 1MB file added by whomever tipped you over...

As for logfiles, Ithink you can get them in the SBS console but NTbackup
stores them in %USERPROFILE%\Local Settings\Application
Data\Microsoft\Windows NT\NTBackup where %USERPROFILE% is the appropriate
"Documents and Settings" user folder.

We see this all the time with small servers.

Some things you can do to recover space:

Set all IE to delete temporary internet files

Purge the $Ntuninstall folders in your C:\Windows folder.

Purge your %temp% folders

Run a nightly script that removes all WMA, MP3, etc... files from users
My Documents folders.

Start checking folders that users can access for large files and folders
with lots of crap in them.

If you have SQL installed, learn how to compact databases and re index
them, making them smaller - the log file often expand more than you
would think.

Delete any old log files nightly

Check that your AV software has not orphaned any old definition files
that are wasting space.

Archive data to DVD or another tape, make two copies, put it in the
safe, delete the archived data from the server.
